How to create an automated Birthday Club using Google Form & Google Sheet to automatically track and review Birthday Club Submissions

Requirements

  • Must have or create a Google Account (Gmail) First
  • Will need access to Manage Pages in order to embed form in page
Note- while SoCast has set up this workflow and tested it for usability on the front end of the website, we cannot guarantee the functionality or longevity of the set up as it is solely reliant on Google functions and services

Step-by-step guide

  1. Create Google Account: https://support.google.com/mail/answer/56256?hl=en
  2. Sign In to your Google Account and click the square grid icon in the top right corner of the screen
  3. At the Bottom of the Menu Click 'More'
  4. Scroll down and click 'Forms'
  5. Customize your Google Form to be embedded on your website. Create Custom Questions, Add Images and Adjust Colors * Note- We advise you include a question regarding the automatic 'opt in' by providing information. A sample question could be worded as such: "By submitting a birthday club shout-out via this form, you are granting Radio 88 permission to use the information you submit for the purpose of a Live On Air shout-out". The sample statement should not be seen as legal advice. We would recommend you seek legal advise for your stations particular needs around collection of information andprivacy.
  6. Once your form is created and customized, click 'Responses' then to send responses to a Spreadsheet click the Green Google Sheets Button in the top right corner.
  7. Create New Spreadsheet and Title the spreadsheet something identifiable (this will be how you locate your birthday club submissions). Ex. 'Radio 88 Birthday Shout-Outs' then click Create
  8. Next click the Gear Icon in the top right corner
  9. Click Presentation and enter a confirmation message then click save (ex. When can the listener hear the birthday announcement on air?)
  10. Click Send Button in the top right corner then click the '< >' icon
  11. IMPORTANT - Width and Height vary depending on whether you're using a sidebar on your page or not. WITH Sidebar: Set Width to 800px and Height to 1000px / WITHOUT Sidebar: Set Width to 1100px / Height to 1000px
  12. Copy the iFrame code from the Embed HTML section
  13. Open admin.socastsrm.com and click Website> Pages
  14. Select the Page you wish to make your Birthday Club Sign Up Page
  15. Click Switch to Backend Editor then click Add Element
  16. Select the Raw HTML Element
  17. Paste the copied iFrame Code from the Google Form then click Save Changes
  18. Click Update

Now you're ready to collect responses from your listeners!


How to view responses in real-time

  1. Visit https://drive.google.com/drive/my-drive and log in to your Google Account (this is the same account you used to create the Birthday Club Form)
  2. Under Quick Access you should see a Google Sheet titled you would have created when making your Birthday Club/Shout-Out form (ex. Radio 88 Birthday Shout-Outs)
  3. Open the Google Sheet to see responses
  4. To Sort any of the columns (ex. by birthday date) Click the small arrow in the top right of the lettered column
  5. Click Sort Sheet A-Z
  6. This will sort the entire sheet based on the contents in that column

Now you're ready to announce your birthday shout outs on air!
